Step 2. Create User Groups

I need to do this if.....

  • I am using Team-Logic CRM and I need security to restrict who sees certain projects/jobs
  • Staff will log in from multiple departments and need to have seperate calendars
  • I am using CMS-Logic, will have many staff using it, and need to setup complex access levels based on groups
  • I am using Mail-Logic and want to seperate my recipients into groups

Overview

Groups can be assigned to staff, clients and organizations.

There are three kinds of groups as outlined below:

Departments (Assignable to Staff Only): 

Roles (Assignable to Staff Only)

External Groups (Assignable to Clients and Organizations):

  • Mail-Logic - Visitors to your website can sign up for email newsletters, they will be added to your application as clients. You can tie your clients to different groups. This makes it possible to send mass emails to different groups of people.
  • Portal Pages - You will be able to set permissions to who views pages set up for the portal

Managing Groups

Start by clicking on the administration link, and then click on the "Groups and Departments" link, as shown below.

The above screen shot is taken from a city that uses Team-Logic for their Intranet.   On the left, are internal groups and roles for your staff.   On the right, are external groups for customers, outside partners, and email newsletters. In this example, the external groups are strictly used for newsletters.

You may add groups by clicking on the "Add" buttons in the header. Only a title is required. After the groups are created, you can assign staff,clients and organizations to these groups. This is achieved by editing the individual staff member, client or organization.

Team-Logic CRM Considerations

Internal groups (Departments and Roles) will be important later on for setting up project types. By associating these groups with certain project types, you will be able to give staff inherent access to various types of projects. For example, you could set everyone in the "IT Department" to see a project type named "IT - Server Setups".
